Job Summary:
The School Receptionist is responsible for managing the front office and providing administrative support to the school. This role involves greeting visitors, answering phone calls, handling inquiries, and performing various clerical tasks to support the school’s operations.

Key Responsibilities:
Front Desk Management:

Greet and welcome visitors, ensuring they sign in and are directed to the appropriate person or department.
Answer and direct phone calls in a polite and professional manner.
Handle inquiries from parents, students, and the general public, both in person and over the phone.
Monitor and manage the school’s general email inbox, responding to or forwarding messages as appropriate.
Administrative Support:

Provide administrative assistance to school staff, including typing, filing, photocopying, and data entry.
Manage student attendance records and report absences to the appropriate personnel.
Assist with the preparation and distribution of school correspondence, newsletters, and announcements.
Maintain and update student and staff records in the school’s database.
Coordinate and schedule meetings, appointments, and school events.
Visitor and Safety Management:

Ensure all visitors sign in and wear visitor badges.
Maintain a secure environment by following procedures and controlling access (monitoring logbook, issuing visitor badges).
Notify appropriate personnel of any security concerns.
Supplies and Inventory:

Order and maintain inventory of office supplies.
Ensure the front office area is tidy and presentable, with all necessary stationery and material.
Other Duties:

Assist with school registration and enrollment processes.
Support the school administration during events, such as parent-teacher conferences, open houses, and school fairs.
Perform other related duties as assigned by the school administration.
Qualifications:
Education: High school diploma or equivalent (required); additional qualifications in office administration (preferred).
Experience: Prior experience in a receptionist or administrative role, preferably in an educational setting.
Skills:
Strong verbal and written communication skills.
Excellent organizational and time-management abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
Ability to multitask and work in a fast-paced environment.
Friendly, professional demeanor with strong interpersonal skills.
Working Conditions:
Hours: Typically Monday to Friday during school hours; may require occasional evening hours for events.
Environment: Office setting within a school; frequent interaction with students, staff, and visitors.
Physical Requirements:
Ability to sit for long periods.
Ability to lift up to 20 pounds occasionally.
