Office Assistant
Job Description
The School Office Assistant provides administrative and clerical support to ensure efficient operation of the school office. This role involves handling communication, managing records, assisting students and parents, and supporting teachers and staff with daily tasks.
Key Responsibilities:
Administrative Support:
Answer phone calls, emails, and inquiries, directing them to the appropriate personnel.
Greet visitors, students, and parents in a professional and friendly manner.
Maintain student records, attendance, and confidential files.
Prepare and distribute school correspondence, newsletters, and memos.
Assist in scheduling appointments, meetings, and school events.
Process incoming and outgoing mail and deliveries.
Student & Parent Assistance:
Assist students with basic needs, such as providing passes or directing them to the nurse’s office.
Help parents with enrollment, school policies, and general inquiries.
Communicate important school announcements and event details.
Staff Support:
Support teachers with photocopying, organizing materials, and classroom needs.
Assist in ordering and maintaining office and classroom supplies.
Coordinate substitute teacher arrangements when needed.
Data Entry & Record-Keeping:
Input and update student attendance records and report absences.
Maintain accurate databases related to student and staff information.
Assist in preparing reports and school documents as required.
General Office Duties:
Ensure the school office is clean, organized, and functioning efficiently.
Follow school policies and procedures for security and confidentiality.
Perform other duties as assigned by the principal or administrative staff.
